Diane is standing for Council. Jain is working on getting tree crew to do something about the rotting tree. Shontell is Youth Power and will have Jared as co-coordinator this year. Ernie is at home looking forward to Fair. McKenzie (Drew) is H&H and has a lot from H&H booth today. Karen w/Green Earth, aka Ladybug, in H&H. Cory from H&H is wintering in Santa Fe NM. Paul Cunningham is in San Fran area. Freda was first year in H&H last summer. Dea is Spirit and is in Decatur IL. Sue B is in Little Village and might be in Santé Fe in April, going to Austin for eclipse. Nathan formerly Wild Edibles now on Council is in Portland ME. John Alexander is on OCF Board and Klamath Observatory, it’s lovely to be here. Ben L is in H&H, loves seeing all his boothies here, now in Eugene. Stephanie in from H&H she is so happy. Kyle also H&H last was first year. Tomi is also from H&H!! Banjo Mike in part of stage and construction, standing for Council this year, shadowed last year, storing a lot of rain water. Rick Ross still joining audio is H&H. Kelsey is Little Village Coord and likes being a Council Shadow, just home from Mexico – weather shock! Karla is standing for Council again, is near Veneta today. Sara is across from Hult Center waiting to see Chelsea Chandler. Barbara is Info and is ComeUnity House booth coord and loves her cat. Village David is still Master Gardener, which is presently open for applicants, and is a working Elder.

Fair Announcements 
Alex: new phone number for site available on a sign on the gate. For stuff that is not an emergency… +15412324117
Jain: board work session on Monday at 7:00 re: Emerald Ash Borer.
John: A strategic process is being planned for the trees.

FYI: Decision October 12: January in-person at Growers; February & March online only Zoom; April (only in-person) at UU(?); & May (full hybrid) at UU(?); early June in-town at Growers; late June on site. At the January meeting, experiment with hybrid from Growers.

Standing:
Sam Rutledge: Info Booth for a decade+, before in LP, was in Council for awhile as well as he OCF Board. But he’s back!

Tim: likes telling people what to do

Nathan Georgitis, CV since 2007, was WE coord, was shadow and then on Council.

Banjo Mike: Was with Site Crew for 5-6 years, then helping stage and pre-Fair construction, shadowed Council 2023, wants to do more, do better. Hopes to be construction liaison in the coming year.

David: OCF since 1983 with MG, ’85 started on Council every year.

Sara: 2009, Coord Doors, Council last year, likes being part of the team,

Diane: off n on Council o since the Marshall days, also on OCF board for a while

Karla: Village since 1989, in P&J then Booth coord then on Council since. Inventory, wrist band, admissions, budget, is her niche.

Omo: is not here but is standing. Been in Council on the past, including last year.

Sara has concerns about Banjo, had conversations, beneficial for him to be a Shadow for another year, She will stand aside. Karla says Omo also talked to Banjo Mike, not sure about the resolution. Karla feels like he would benefit for another shadow year, too. He was helpful, but needs more support to get up to speed. Sam wants a point of process – only people who have gone through a conversation can bring concerns to this meeting. Don’t express concerns unless you have followed that process – Karla did so. Diane did not talk to Banjo Mike, but will also stand aside if allowed. If some concerns are still unresolved, another month is available.

Minutes weren’t posted until after the Council meeting. The deadline for concerns was extended due to late DRUM posting.

Please have Council meeting so they can discuss Banjo Mike before he is confirmed. This is not in the process though.

Banjo Mike: Did meet with Omo as well as Sara and Karla. It was a good conversation. Felt like concerns were resolved. He is willing to have more discussions with Council before being confirmed. Mentioned he hasn’t been a booth coord yet, either.

Karla: there is no animosity. Just want the best for all.

Kim: Saw this on the agenda, thinks it’s very cool of Banjo Mike to agree to wait. She would feel weird if he wanted to stand knowing 2 Council person would stand aside. Appreciated Banjo Mike checked in with the IC booth to ask if things were going well.
No more concerns or stand asides, so…

Not much to say. Veggie meets monthly. River is 3.3 ft up, pretty low, takes 10 ft to flood. 9-9 gates are open, take a walk… How can we find flood gauge info online? https://waterdata.usgs.gov/monitoring-location/14166500/#parameterCode=00065&period=P7D&showMedian=true

Change meeting time/ for 2024?
Nathan published a poll on the DRUM, with 46 respondents. Shared his screen. Results show 7pm time is least preferred. 6:30 largest 2nd choice, 6:00 was the highest first choice. Discussion:

Need to decide tonight. January is in-person at Growers.

Should we do the poll again with the 2 top items. Another poll might get more responses, or get new respondents, might just confuse things. Please speak if you have big feelings about this, parents or job issues? Jain falls asleep at 8:30 LOL, meetings used to start at 7:30 years ago, grandkids can’t come these days.. Circadian rhythms say it’s better to do this earlier. In the last 20 years, things have changed a lot. There used to be lotsa kids, and it was late and tiring. A lot fewer kids at meetings these days. Fewer kids or just not at meetings?? Earlier works better for parents. Ben works until 6:30, 7 works best, he adjusted his work schedule to accommodate our meeting time. Brian has 2 kids, prolly not bringing them meeting at any time. Chat: It’s easier for people in Portland to drive down after work if we have it later. Especially if we are going in person only.” “Strongly want earlier time. :)” Sometimes people come late to meetings… will an earlier meeting mean fewer on time? Be sure to put big agenda items in mid meeting, not at the beginning. How about making any change a trial period? Have times different for different months? Kim: Compromise with the middle time, 6:30pm. Earlier would be OK. What about 6:45? Tim: Reminds all that 6:30 is the 78% 2nd choice, and a good compromise. Maybe adjust mid-season if it’s not working. Not sure we can get a reservation for 6:30 at preferred venue. Agree to move meetings to 6:30 for all of 2024 or reconsider again earlier if needed, or if the venue is unavailable. CONSENSUS REACHED!
